St. James Parish Government is hiring a Library Archivist under the Operations Department.
JOB FUNCTION: This position is responsible formanaging the parish archives, including acquiring, preserving, and makingaccessible records and historical materials, while also managing staff,budgets, and public outreach.This is a highly visible position. A workingknowledge of archive management, organization, procedure, policy, and serviceis necessary. This position requires the ability to plan, direct, andcoordinate collections, services, programs, and the work of others. This is anexempt position. This position is classified as essential during declaredemergencies or natural disasters.
ESSENTIALDUTIES AND RESPONSIBILITIES: Includes anycombination of the following illustrative examples of duties andresponsibilities including but not limited to:
Workwith Parish Government and the Library Supervisor to assess the initialcollection and define the scope and purpose of the newly created parisharchives.
Drafta mission statement, collection development policy, and other policies andprocedures necessary for the successful functioning of the parish archives.
Assistwith determining the hours of operation, resources and furnishings necessary tohouse and preserve the collection, and appropriate staffing.
Adviseon the selection, implementation, and administration of software and systemsfor records management;
Servesas the main Records Officer St. James Parish and act as a liaison between parishgovernment and the State Archives on all matters related to records management.
Workswith each department to ensure compliance with public records law includingdesignating one or more records coordinators, creating/renewing recordsretention schedules and ensuring department compliance with the appropriateschedules, submitting disposal requests, reporting damaged/lost records, etc.
Capableof developing and maintaining a genealogical archive for St. James Parish.
Generalsupervision of the archive facilities and those who are employed by the libraryas archive staff
Maintainsclose and open communication with the Library Supervisor on problems, short andlong term requirements, priority changes and provides input for long rangedivision plans and systems requirements
Responsiblefor the promotion of the archives and its services
Overseeacquisition, preservation, organization, digitization, and use of collections
Providesaccess to the collection and assistance to the public in its use
Carriesout those policies adopted by the Parish Council and the Library Board andadhere to state and local governance of the archives
SUPERVISORYRESPONSIBILITIES: Supervises allaspects of the parish archives. Supervises the archives staff.
QUALIFICATIONREQUIREMENTS: To perform this job successfully, an individual must be able to perform each essentialduty satisfactorily. EDUCATIONAND/OR EXPERIENCE: This positionrequires a Masters of Library andInformation Science from an accredited School of Library and InformationScience. Graduate Certificate in Archival Studies, Records and InformationManagement, and/or three years experience in archives management preferred.
OTHER SKILLSAND ABILITIES:
Must havestrong public relations skills
Knowledge ofoffice machines and their use
Ability to type40 words per minute
Comfortable withthe use of computer software
Familiar withthe parish automation system
Must be able toprovide transportation to and from work, run errands when necessary and becomfortable traveling to library-sponsored workshops that may require overnight stays. Also must be qualified to drive parish vehicles
Must haveexcellent verbal and written communications skills

Thisjob is primarily considered a desk job; however, the person in this job will beexpected to work with the collection. While performing this job, the employeemust be able to climb a ladder to retrieve materials from shelves approximatelyseven feet from the ground. They must be able to bend to retrieve librarymaterials from the bottom shelf on the ground level. Must occasionally liftand/or move up to 30 pounds. Must be able to push or pull a loaded book cartthat weighs approximately 60 pounds. Sometimes moving equipment such ascomputers and furniture will be expected. In addition, the lifting and packingof manuscripts, records, or artifacts in boxes or bags is expected.
WORKENVIRONMENT: The work environment for this position is primarily inside the archivesbuilding located in Lutcher; however may involve assisting the public in eitherpublic library branch or in the community.
